GLOBAL MARITIME recruits 1 Import Documentation Staff
1. Job Description
- Process documentation for import shipments (sea/air freight) as assigned by the department head; coordinate with Sales and/or designated agents to ensure complete and timely documentation.
- Monitor shipment schedules; provide timely updates on new information or related changes.
- Notify relevant parties (agents, consignees/authorized parties) of shipping status via email/phone as required.
- Enter and manage shipment data on the company's software; issue Arrival Notices, manifests, delivery orders (D/O or E-D/O), and issue Debit Notes for each shipment.
- Coordinate with the Accounting department in sending invoice requests, preparing A/R payment requests to suppliers (shipping lines/coloaders), and monitoring payment status.
- Check and hand over complete and timely documentation. Update all shipment information (Delivery Order date; delivery date, etc.) on the system and notify the designated agent as required.
- Update procedures/regulations related to receiving, transporting, import/export, and customs procedures (when applicable) to ensure work is performed correctly and according to standards.
- Prepare periodic reports as required by the Head of Documentation; participate in handling arising tasks of the import department when assigned.
- Provide guidance on import operations to relevant departments; prepare import quotations for customers/agents upon request as directed by the Head of Department.
2. Candidate Requirements
- Minimum 2 years of experience in Import/Export, Forwarding, or Logistics.
- Graduated from college/university with relevant majors: Economics, Foreign Trade, International Business, etc.
- Understanding of import/export logistics operations, especially maritime transport and related regulations.
- Proficient in using office software (Word, Excel, PowerPoint) for work purposes.
- Ability to use English in a work environment (reading and understanding documents, exchanging emails).
